Experienced Facilities Manager to provide Facilities and Asset Management support portfolio of offices located in Greater London Duties Management of Hard and Soft FM service contract provisions Contract Administration Service level monitoring Significant R&M and life cycle replacement New office set-ups and relocation Health & Safety Working with the group Health & Safety Director/Coordinator to provide H&S support for all building/FM Service contract related H&S issues Real Estate strategy and Administration Working with the group Real Estate Service Manager to assist when required in developing office move business plans and renegotiating lease renewals and office location optioneering Asset Management Forecasts Working closely with the Function Head and FM Service Manager to develop and maintain ongoing property budgets and forecasts. Duties Manage relationships and work alongside Office Principles and Managers to provide exemplary support and guidance in the provision of facilities/asset management services including: Management of Hard and Soft FM service contract provisions Oversee service contract providers responsible for the provision of hard and soft FM services, ensuring H&S compliance and the delivery of quality services to the office management teams. Regular monitoring of service levels and taking remedial action as applicable to ensure standards are maintained and where possible, continuously improved. Ensure that all supplier records/certificates are periodically reviewed and maintained up to date. To assist with the tendering of third-party FM support contracts, producing/reviewing service specifications and interviewing/inducting tenderers. Ensure that regular assessments of customer satisfaction are carried out and that service improvements are identified, implemented and the impact of their implementation assessed. Develop a good working relationship with landlords/landlord agents and liaise to ensure the quality and timely delivery of lease services (Communal FM services, Life cycle and repair & maintenance works etc) and to minimise disruption where possible. Project Management Work closely with the office management team to assist where required with the coordination of churn/ small intra-office moves. Report on space utilization and promote the effective/productive/efficient use of the office facilities. Ensure that each office management team is engaged and updated on all FM associated activity taking place within their office When required, liaise between office landlords and office management teams to coordinate any associated project works (life cycle, additional facilities etc). Be familiar with license to alter processes and working with legal representatives and landlords to facilitate projects etc. Oversee the management and co-ordination of small projects across the portfolio of properties, ensuring close collaboration and provide the interface between the appropriate office management team and AM shared services. Support the Properties and Real Estate service manager in delivering new offices and moving sites (optioneering, liaising with legal and real estate advisors, liaising with landlords and supporting the affected office management teams). Establish clear channels of communication to support the process of change management Health & Safety Ongoing H&S support ensuring compliance and the meeting of external audit timescales To work with the Health and Safety team to ensure that all health and safety audits, fire and other evacuations are carried out on a regular basis, the emergency plan and related site maps are continually update and that the Health and Safety registers are kept fully up to date. Provide support and guidance assisting each of the offices management teams to achieve local H&S targets. Work with the office management team (inc Local Health & Safety Representatives) to proactively manage risk and deal with insurance compliance onsite with regards to both public and statutory bodies. Work with both the office management team and Service Manager to ensure disaster recovery/crisis management plans are in place and reviewed / tested periodically. Qualification Educated to degree level or equivalent. High degree and knowledge reference of Health and Safety legislation. BIFM qualification desirable Experience Previous facilities management experience within a multi let property environment. This includes Line Management responsibility of small office management teams and Facilities team. Proven track record of successfully delivering Facilities Management projects. Salary: £49,000 per year
